About the job

As an Administrative Assistant at Workinvirtual, you will play a crucial role in supporting the smooth and efficient operations of our organization. You will provide administrative support to our team, ensuring that tasks are completed accurately and on time. Your responsibilities will include:

Office Management

  • Calendar management: Manage the calendars of team members, scheduling meetings and appointments.
  • Travel arrangements: Book travel arrangements for team members, including flights, hotels, and transportation.
  • Expense reports: Process expense reports and ensure timely reimbursement.
  • Office supplies: Order and maintain office supplies.
  • Equipment maintenance: Coordinate the maintenance and repair of office equipment.

HR Support

  • Onboarding: Assist with the onboarding process for new hires, including paperwork and orientation.
  • Offboarding: Assist with the offboarding process for departing employees, including exit interviews and return of company property.
  • Employee records: Maintain accurate employee records, including personnel files and time sheets.
  • Benefits administration: Assist with benefits administration, including enrollment and changes.
  • Performance evaluations: Assist with the performance evaluation process.

Event Planning

  • Internal events: Assist with the planning and execution of internal company events, such as team-building activities and meetings.
  • External events: Assist with the planning and execution of external events, such as conferences and webinars.

Project Management

  • Project coordination: Assist with the coordination of projects, including tracking deadlines and progress.
  • Meeting minutes: Take and distribute meeting minutes.
  • Task management: Create and manage task lists to ensure that projects are completed on time.

Communication and Customer Service

  • Communication: Respond to emails, phone calls, and other inquiries in a timely and professional manner.
  • Customer service: Provide excellent customer service to both internal and external stakeholders.
  • Data entry: Enter data into databases and spreadsheets accurately.
  • File management: Organize and maintain files electronically and physically.

Qualifications and Experience

  • High school diploma or equivalent
  • 2+ years of experience in an administrative or office support role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills
  • Attention to detail and accuracy
  • Ability to work independently and as part of a team
