Seeking an Executive Assistant to support senior leadership by managing complex scheduling across the U.S. and Asia, coordinating international travel, handling expense management, and overseeing administrative tasks. The role requires collaboration with cross-functional teams while acting as a liaison with internal teams and external partners. Responsibilities also include organizing meetings, maintaining records, and ensuring confidentiality with a high level of professionalism.

Description

  • Oversee complex scheduling across U.S. and Asia time zones for executives
  • Arrange international travel, including flights, hotels, and transportation for business trips
  • Manage business expenses and records of travel, ensuring accurate tracking and submission of timely expenses
  • Handle administrative/project tasks such as document preparation, meeting coordination, and action item follow-ups
  • Act as a liaison between executives, internal teams, and/or external partners to arrange meetings, book off-site events, manage schedules and provide assistance as tasked
  • Coordinate virtual and in-person meetings, preparing agendas, materials and preparation
  • Provide administrative support on a project basis as needed to executive staff
     

Qualifications:

  • 2+ years of experience as an Executive Assistant in a fast-paced, tech-driven, VC, and/or like environment
  • Expertise in managing executives' calendars and international travel coordination
  • Strong skills in calendar management and international travel coordination
  • Proficient in Microsoft Office Suite, Google Workspace, and travel booking platforms
  • Excellent organizational and time management skills; adaptable to changing priorities
  • Strong communication skills for engaging with global teams
  • High professionalism, discretion, and confidentiality
  • Ability to make quick decisions with minimal direction
  • Fluent in English; knowledge of Mandarin or Korean is a plus
